Esthers Australia Ltd is seeking a skilled and purpose-driven CRM Project Manager to lead the implementation of Keela, our new not-for-profit fundraising and client management CRM system.
This pivotal role will directly strengthen our capacity to support highly vulnerable pregnant women—many facing homelessness, domestic violence, or systemic advocacy challenges—by streamlining how we engage with donors and manage client data.
You will join a passionate and mission-focused team working to break cycles of poverty and foster care in Queensland and beyond.

About the Role
This is a contract position responsible for the end-to-end implementation of Keela CRM—from setup and data migration to training, rollout, and reporting. You will work closely with the CEO and frontline staff to ensure a seamless integration that enhances donor engagement, improves client record-keeping, and builds operational efficiency.
Key Responsibilities
Phase 1: Planning & Onboarding
Collaborate with leadership to develop a CRM implementation timeline and strategy
Participate in onboarding and familiarize yourself with the Keela platform (via webinars and tutorials)
Phase 2: Data Audit & Migration
Audit and clean existing donor and contact databases
Prepare, format, and migrate data into Keela CRM
Phase 3: System Configuration
Set up Keela workflows, custom fields, templates, and communication tools
Configure CRM features for both donor engagement and client case management
Phase 4: Training & Internal Documentation
Deliver tailored training to staff members (group and 1-on-1 sessions)
Create simple reference guides and internal resources
Phase 5: Rollout & Support
Oversee rollout of Keela for live operations
Monitor adoption, troubleshoot issues, and liaise with Keela support
Gather feedback and implement optimizations
Phase 6: Reporting & Grant Acquittal
Collect and summarize project outcomes, aligned with grant Key Performance Indicators (KPIs)
Collaborate with the CEO to draft the Final Acquittal Report for submission to the grant issuer
Ensure documentation of lessons learned, impact measures, and next steps for CRM use across the organization
Selection Criteria
Essential:
Demonstrated experience in CRM implementation or digital project management (preferably in the NFP sector)
High-level proficiency with CRM systems (ideally Keela or similar platforms)
Strong skills in data management, migration, and system configuration
Exceptional communication and training skills
Ability to manage time and priorities independently within a flexible work schedule
Values-driven with a heart for social justice and supporting vulnerable communities
Desirable:
Experience working in small not-for-profits
Understanding of client data handling and confidentiality in community services
Familiarity with fundraising, donor stewardship, or case management processes
